Supplier Compliance Management, Simplified

Liz Phelan··2 min read

Compliances is now available in demo and will rollout to production on November 9.

TL;DR Summary

We've expanded Compliances so Communities can enforce standardisation without losing flexibility. They’re embedded in onboarding and sourcing, and can also be requested ad hoc whenever they’re needed.

Behind this is a universal compliance taxonomy: every requirement, from Public Liability Insurance to Workers Compensation and beyond, has a single global classification. That means suppliers can fulfil a requirement once and have it apply across all their connected Communities, getting compliant faster.

Admins get clear visibility of supplier compliance status, and the chasing and tracking of documents is automated for both Admins and Suppliers.

For Admins:

  • A Structured Compliance Taxonomy — Choose exactly which compliance types matter to your business from a categorised library, rather than relying on one generic "Insurance" requirement.
  • Standardisation and Flexibility in Onboarding — Mandatory and default compliance requirements flow through to invitations and bid requests automatically. Default requirements can be removed where irrelevant, but mandatory ones are immutable, ensuring consistency across your supplier base without sacrificing flexibility.
  • Granular Progress Tracking — A new Requirements Column on the Manage Suppliers dashboard shows profile and compliance completion at a glance. Filters help Admins quickly identify non-compliant suppliers, and clicking on cell reveals exactly what's missing without opening the record.
  • Ad-hoc Compliance Requests — Admins are no longer limited to making requests at onboarding. Any compliance type from the taxonomy can now be requested from existing suppliers individually or in bulk via the "Actions" menu.

For Suppliers:

  • Guided Compliance Completion — The Dashboard gives suppliers a bird's-eye view of their status across all connected communities, flagging any missing document as "Incomplete" so they know at a glance if their trading eligibility is at risk. Requests appear directly in the supplier's task bar, taking them straight to the Compliances tab (formerly "Insurances") with a clear call-to-action that disappears upon fulfilment.
  • "Share Once" Efficiency — If a supplier has already uploaded a document for a specific compliance type (e.g., Public Liability Insurance) and marked it to share with all customers, the system automatically fulfils new requests for that same type — cutting effort and time-to-fulfilment for everyone.

Shared Across Both:

  • Automated Monitoring & Expiry Alerts — A new notification system alerts staff and suppliers to uploads, upcoming expiries (14-day warning), and actual expiries via email and in-system notifications — reducing manual follow-ups and helping suppliers stay ahead of lapses that could affect their ability to trade.
